Controlling what Agents can see and do in darwin.cloud

Getting ready to give access to darwin.Cloud for Agents

When you prepare to give Agents access to their portal in darwin.cloud, it is important to review what you are giving them access to and what they are allowed and not allowed to do.

This article will outline the different permissions that can be given to Agents.  

Agent Role Permissions

To review the permissions for Agents, navigate to:

Security-->Roles-->Agents-->actions

This screen controls what Agents can see and do in darwin.Cloud.

For an Agent to have access to any submenu, they must also have access to the main menu item.

For example, to be able for the Agent to go to to Properties->Basics, the must also have access to Properties

Darwin Cloud - Google Chrome

The Reports tab lets you control what reports Agents have access to. By default the Agent is only given one Report. This is so you can choose what reports Agents are given access to.

You can give them access to any reports you feel are appropriate. The Agent will only see data on the reports for Properties or People they are assigned to.

Person Types: This tab controls what person types the Agent has access to and if they are able to just view that person type or if they can add that person type.

If you give the Agent access to the person type Agent, they will be able to see Notes and Chats related to their Agent record.

Spotlights: This tab is to give Agents access to Spotlight for Agents (shown as Analytics for Agents on their dashboard).  This is the only Spotlight that should be assigned to Agents.

Actions

Dashboard

Dashboard > Analytics for Agents

This gives them access to the charts and graphs showing their own performance and goals that you have configured.

Properties

All permissions given are only for their properties. Basics allow the Agent to see basic property info.

Basics > Email

Feature: Agent can see remarks, features and rooms for a property.

People: Allows the Agent to see people associated with the property like Buyers, Sellers, Attorney, Title Company...

Commission: Allows the Agent to see basic commission information along with referrals.

Timeline Tasks: Allows the Agent to see tasks associated with the property.

Showing: Allows the Agent to see any upcoming showing appointments for their listings.

Open House: Allows the Agent to see any Open houses for their listings.

Darwin Cloud - Google Chrome

Media Stream: Allows the Agent to see photos and virtual tours associated with their listings.

Documents: Allows the Agent to see Documents associated with their listings.

Chat/Notes: Allows the Agent to see Chat and Notes associated with their properties.

Documents: Allows the Agent to email documents in the property record to others.

People

All permissions given are only for their Agent record or other people type records they are associated with.

People Basics: Allows the Agent to see but not edit their basic person information.

Agent Basics: Allows the Agent to view dates, licenses, insurances, and positions associated with their own Agent record.

Web profile: This is for their personal profile that is sent to dash for Anywhere Brands. This is also where the Agent's head shot is loaded. The Agent can see the languages, specializations, and designations that are on file for them.

Inventory: Allows the Agent to see Active, Pending and Closed properties they are associated with.

Custom Fields:  Allows the Agent to see any custom field data on their record.

Timeline Tasks: Allows the Agent to see all tasks assigned to them and mark them complete.  The Agent can be given permission to add new tasks from the task list or custom tasks manually.

Documents: Allows the Agent to see documents attached to their Agent and contacts' records.

Chat/Notes: Allows the Agent to see Chat and Notes related to a person record that they have access to.

Reports

All Reports:  Allows the Agent to run reports to which they have been given access.

Tools

Email Log: Allows the Agent to see any communications sent to them through darwin.Cloud.

Office Forms: Allows the Agent to access and download office forms.

Darwin Cloud - Google Chrome

Credit Card/ACH: Allows the agent to enter their ACH/Credit Card information.

1099: Agents can access their 1099's that were created in darwin.Cloud.

Store

Items for Sale: Agents can see and order items from the company store. Invoices are automatically created and all accounting is done.

My Orders: Agents can see the status of their orders.

Chat

Agents can see any chats they are party to.
