RENTALS: Closing Our Landlord Rentals

Steps to close rental transactions that are less that a year lease and you are representing the Landlord (so the rental is already in darwin Cloud with status "Active") are as follows:

Search for the Active Rental Listing

  1. Click Properties menu
  2. Click search button to locate the property
  3. Type a portion of the address
  4. Choose Active from the status dropdown list
  5. Click show advanced filter option
  6. Choose Rental from the accounting code dropdown list
    • Hit enter to search
  7. Click the address to open the property details
  1. Change the status from Active to Withdrawn
  2. Enter a withdrawn date
  3. Click save
  4. Click submit

Once the rental listing has been successfully removed from dash, the next steps are to actually close the rental transaction to make sure the agent gets paid.

  1. Change the status to Pending
  2. Remove the withdrawn date
  3. Enter in pending date and est close date
  4. Check the box exclude from: submission
  5. Click save
  1. Click People submenu
  2. Enter in Landlord's name for seller info
    • a new window will appear to search for the landlord's name
  3. Enter in Tenant's name for Buyer info
    • a new window will appear to search for the tenant's name

It is always best practice to search for an existing Buyer/Seller person type before adding a new one. Cuts down duplication.

  1. Click Commission submenu
  2. Enter the selling price = Rent for 12 months
  3. Enter the comm price = the check amount received
  4. Enter in commission info for your side
  5. Enter in commission info for cobroke side
  6. Click save
  1. Click plus button to add a cobroke office an agent
  2. Click the magnifying glass to add cobroke agent
    • cobroke office will automatically be filled if upon choosing cobroke agent
  3. Click add
  1. Click Agent Net List submenu
  2. Check that the calculation from AGCI to Agent Net are as expected
  1. Click Post submenu
  2. Enter the date that user is entering the rental as closed in your system as the post date for accounting
  3. Check the box of Record Payments received ?
  4. Select one payment or multiple payments
  5. Enter check # and memo
  6. Check the box of Record ALL Payment(s) as a single Deposit with no other items ?
  7. Select the commission deposit account
  8. Click post button
